Berehayes Holiday Cottages – Booking Conditions (effective 1/1/16)

Our Agreement with You
An agreement, which incorporates these booking conditions, is formed between us once your booking has been confirmed and a payment (deposit or full payment) has been received.

The property
Is only to be used for the purposes of holiday during the period booked and not for any other purpose or period of time. There is no relationship created of Landlord and Tenant between the parties. You shall not be entitled to a new tenancy, or to any assured short hold or assured tenancy or any statutory protection under the Housing Act 1988 or other statutory security of tenure now or at the end of the rental Period.

Payments
A deposit of 25% is payable on booking and is only refundable if your accommodation becomes unavailable due to reasons beyond our control. The balance of the rental is payable six weeks prior to arrival (you will be sent a reminder). Non-payment of the balance within 14 days of this reminder shall be deemed as a cancellation of the booking. For bookings made less than six weeks in advance the total amount is payable on booking.

Cancelling your rental
If the booking is cancelled 42 or more days before arrival then a charge equal to 25% of the full booking amount will be made. If the booking is cancelled less than 42 days before arrival then a charge equal to the full booking amount will be made. However, should we be able to re-let the cottage, some of this payment, less admin charges may be returnable. We recommend that you take out cancellation (holiday) insurance.

Non-availability of cottage as booked
We would only cancel your rental if the cottage(s) was unavailable for reasons beyond our reasonable control (eg fire, flood, exceptional weather conditions, damage/destruction). We would attempt to offer you alternative accommodation, however if this was either not possible or not acceptable to you then we would refund to you all monies paid for the rental. Our liability to you would not extend beyond this refund. No additional compensation, expenses or costs will be payable.

Electricity – save our planet
Many cottage companies simply add £30-£40 to cover electricity. We have not done this at Berehayes as this would not be an incentive to save energy. The cottage meter will be read at the beginning and at the end of your rental. We are charged at 19p/unit but only charge you at 10p/unit. We have introduced this voluntary scheme, which includes a charity, to help save energy; you will find full details in your cottage. During the colder months the average is £15/week for a small cottage and £25 for a large. We do not charge during the Summer school holiday period (1st July – Aug 31st) as only a little electricity is used.

Damage and Breakages
The hirer is responsible for the cottage(s) and is expected to take all reasonable care of it. You are responsible for any breakages or damage you cause to the cottage(s) and its contents. Please report these before you leave, otherwise we will send you an invoice which will also include an administration charge of £25.00. Note that we do not normally charge for minor breakages (e.g. glassware, crockery) provided that these have been reported.

Party size
Under no circumstances may more than the maximum number of persons (excluding infants), as stated on our website, occupy a property except by prior agreement. The hirer agrees not to cause nuisance or annoyance to occupants of nearby properties.

Website
We make every effort to ensure that the information and cottage descriptions contained on our own and other web sites are accurate. We do however reserve the right to make small changes and we accept no liability for minor inaccuracies.

Smoking
All cottages are strictly non-smoking inside. A charge of £200 will be made for extensive cleaning if the cottage has been smoked in. We do however provide ‘smokers outpost’ disposal points for anyone wishing to smoke outside their cottage.

Pets
Small/Medium, well behaved dogs (maximum 2), over 12 months (sorry no puppies) are allowed in some of the cottages (see chart) and must be declared at the time of booking. Owners must bring their own pet bed. To pay for an extensive clean there is a £10 per dog per night charge for each pet (Max £70). The owner will be responsible for the costs of any excessive cleaning requirements or damage.

Complaints
Please make any complaint known to the owners immediately, so they can be addressed straightaway. Please do not leave it until after your departure. Any unresolved disputes may be referred to arbitration.

Arrival
To ensure that there is sufficient time to clean and prepare your cottage, we ask that you should arrive after 4pm. Please do not arrive earlier, as we will be busy preparing cottages and may not be available to welcome you.

Departure
To enable us to prepare your cottage(s) for the next guest please vacate your cottage(s) by 10am on the morning of your departure. To assist our cleaners, we ask that you leave the property in a clean and tidy condition.

Liability
We do not accept liability for damage, loss or injury unless caused by proven negligent act or omission of ourselves, our employees or contractors, or agents of the same, whilst acting in the course of their employment. This includes loss or damage to vehicles and their contents, and to the personal possessions you bring with you.
